Personal information

Personal information is any kind of information that may be traceable to you to some extent. When using our website, we collect and process such information. This happens for example through common access to content, subscription to newsletters, participation in competitions or studies, registration as a user or subscriber, purchase via the website or other use of the website services.

We typically collect and process the following types of information: A unique ID and technical information about your computer, tablet or mobile phone, your IP number, geographic location, and what pages you click (including your interests). To the extent that you explicitly consent to this and even enter the information, the following also can be collected: Name, phone number, email, address and payment information. This will typically be processed with the creation of login or purchase.

 

Security

We have taken technical and organizational measures to try to avoid that your information is accidentally or illegally deleted, published, lost, impaired or comes to the knowledge of a non-relevant person, misused or otherwise treated in violation of the law.

– Physical folders are located at locked office or locked cabinets.

– Personal data in physical folders is deleted by shredding/burning.

– Personal information to be sent by e-mail to external recipient is sent as secure mail.

– All employees must be instructed in the processing and protection of personal data.

 

Purpose

The information is used to identify you as a user, show you the ads that are likely to be relevant to you, register your purchases and payments, to provide the services you have requested, such as sending of a newsletter, as well as to optimize our services and content.

Purpose and legality of the treatment

Personal data is processed and archived in connection with:

– Personnel administration, including recruitment, employment, resignation and payroll

– Master data for customers as well as marketing, orders and sales

– Master data for suppliers as well as requisitions and purchases

– We use only the personal information for the stated purposes and we collect only the information necessary for the purpose.

 

What personal information do we collect and when?

We ask for certain personal information to customize our content and ads. For example, if you book a show, make purchases, contact us, want to receive inquiries, create an account or participate in our events and competitions. This personal data includes:

Each employee working with personal information has been informed and committed to our personal data and privacy practices.

 

Third parties with access to cookies

– Morning Train

Morning Train ApS is a 3rd party web agency that is affiliated with Frijsenborg & Wedellsborg. Morning Train only has access through an encrypted portal called Last Pass.

Load fits are highly encrypted with algorithms that provide complete security in the cloud. Data is encrypted at the unit level and is kept secret for LastPass itself. Only Morning Train employees have access to this data. With a two-step verification, this service is made even more secure. When employment ends at Morning Train, the former employee will be removed from all access in Last Pass.

Morning Train access has also access to data from Google Analytics – this data are used exclusively for statistics and reporting.

The site is hosted by time4.vps, which is located in Latvia.

 

Storage and deletion of data

Server logs and data will be saved for 3 months after which they are deleted. Server logs include IP address, path and error that occur. This information is used solely for troubleshooting and traffic analysis.

On www.wedellsborg.dk, _ga cookies are used through Google Analytics that assigns a unique ID to the visitor. It is used to follow how the website is used. This data is stored for 50 months and used for internal statistics and reporting.

All personal information is stored primarily on PCs with secure password and code. In addition, there is information in folders in the office, supervised and otherwise locked rooms.

We have introduced the following general guidelines for storing and deleting personal information:

– Personal data is stored in physical folders.

– Personal data is stored in IT systems and server drives.

– Personal data is kept for as long as necessary for the purpose of the treatment.

– Personal data for employees is deleted five years after termination of employment.

When do we delete:

An assessment and deletion of non-relevant and necessary personal information is an ongoing process.

Data included in the accounting context is stored for 5 years after the end of the accounting period. This data is evaluated/deleted every April.

Data deemed to be relevant and necessary for longer than 5 years is kept until decided otherwise. This data are assessed annually in April.

An assessment is also made if a person withdraws his agreement or terminates an agreement.

If objections are made, information has to be assessed and possibly deleted.

Job requests will be deleted automatically after 1 year

Requests for ordering of wood and rent of areas are automatically deleted after 31 days.

 

In addition, a “Data Processing Agreement” has been obtained from partners who deal with/deal with personal data.

 

What we do to keep data safe

With an SSL certificate from our hosting provider, we ensure through SSL encryption that all data passed between individual web browsers and servers is kept secure, private and integral. Through SSL, we therefore ensure that all data remains private.

Procedure for system failure or hacking

In the event of a breach of personal data security, we will notify the Data Authorities (Datatilsynet) as soon as possible and within 72 hours of the breach of security. The company’s management is responsible for this. The notification has to describe the breach, which groups of persons it concerns and what consequences the breach can have for these people, as well as how we have corrected or will remedy the breach. In cases where the breach entails a high risk of those persons about whom we process personal information, we will notify them.

 

Rights relating to personal data:

You have the right at all times to (1) get access your personal information, (2) get your personal information corrected if they are incomplete or incorrect, or (3) get your personal information deleted. You also have the right to request, that processing of personal information is to be on hold in accordance with applicable law. If we have obtained your consent for processing your personal information, you are entitled to revoke your consent at any time. You also have the right to object to the processing of your personal information, including to opt out that they are used for direct marketing.
